Pitchgrove ("we," "our," or "us") is operated by Chill Sessions Records. This privacy policy explains how we collect, use, store, and protect your personal information when you use the Pitchgrove web application and website (collectively, the "Service").

By using Pitchgrove, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

Information you provide directly

• Email address — used for account creation, login, and service-related communications.
• Display name — shown within the app during sessions.
• Brand identity and offers — information you enter about your services, portfolio, and creative offers to personalise outreach.
• Lead data — contact names, email addresses, and company details you import or create within campaigns.
• Campaign content — draft emails, research notes, and outreach messages generated or edited within the app.

Information collected automatically

• Usage data — pages visited, features used, session duration, and interaction patterns within the app.
• Device information — browser type, operating system, screen resolution, and device identifiers.
• IP address — used for security, fraud prevention, and approximate geographic location.
• Cookies and analytics data — see Section 5 below for details.

2. How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve the Pitchgrove service.
• Authenticate your account and manage your sessions.
• Generate personalised outreach content using AI on your behalf.
• Send service-related emails (account verification, security alerts, product updates).
• Analyse usage patterns to improve the product experience.
• Comply with legal obligations and enforce our terms of service.

We will never use your data to send unsolicited marketing emails without your explicit consent.

3. How We Store Your Data

Your data is stored securely using industry-standard cloud infrastructure. Our database is hosted on Supabase (powered by AWS infrastructure). All database tables are protected with Row Level Security (RLS) policies, ensuring that users can only access their own data.

All communication between the app and our servers is encrypted via HTTPS/TLS. Authentication is managed through Supabase Auth with support for Google OAuth and email/password login.

We retain your personal data for as long as your account is active. If you delete your account, your data is permanently removed (see Section 7).

4. Third-Party Services

We do not sell, trade, or rent your personal data to third parties. However, we use the following third-party services to operate Pitchgrove:

• Supabase (database and authentication) — stores your account data and app content securely. Supabase Privacy Policy
• Stripe (payment processing) — handles subscription payments securely. We never store your credit card information directly. Stripe Privacy Policy
• Google Analytics (website analytics) — collects anonymised usage data to help us understand how visitors interact with our website. Google Privacy Policy
• Vercel (hosting) — serves the Pitchgrove website and application. Vercel Privacy Policy
• AI API providers (content generation) — when you use Pitchgrove's AI features (lead research, pitch drafting), your campaign content may be processed by third-party AI providers to generate personalised outreach. We send only the minimum data necessary for the task. AI providers are contractually prohibited from using your data to train their models.

5. Cookies and Tracking Technologies

Pitchgrove uses cookies and similar technologies for the following purposes:

• Essential cookies — required for authentication and session management. These cannot be disabled.
• Analytics cookies — Google Analytics 4 (GA4) uses cookies to collect anonymised data about website usage, including pages visited, time on site, and traffic sources. This data helps us improve the product.

You can control cookie preferences through your browser settings. Disabling analytics cookies will not affect the functionality of the app. For more information on how Google uses data, visit How Google uses data when you use our partners' sites.

6. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

• Access — request a copy of the personal data we hold about you.
• Correction — request correction of inaccurate or incomplete data.
• Deletion — request deletion of your account and all associated data (see Section 7).
• Portability — request your data in a structured, machine-readable format.
• Withdrawal of consent — withdraw consent for data processing at any time.
• Objection — object to processing of your data for certain purposes.

7. Data Deletion

You can delete your account at any time from within the app by opening the Settings section and selecting "Delete Account." You will be asked to confirm by typing "DELETE."

Upon deletion, all personal data associated with your account is permanently removed from our systems, including:

• Email address and display name
• Brand identity and offer profiles
• Campaign data, lead lists, and draft emails
• Research notes and AI-generated content
• Session data and usage history
• Payment records (Stripe retains its own transaction records per their policy)

This action cannot be undone. Once your account is deleted, we cannot recover any of your data.

8. Children's Privacy

Pitchgrove is not intended for use by anyone under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that a child under 16 has provided us with personal data, we will take steps to delete that information immediately.

9. International Data Transfers

Pitchgrove operates globally. Your data may be transferred to and processed in countries outside of your own, including the United States (where our infrastructure providers are based). We ensure that appropriate safeguards are in place to protect your data in compliance with applicable data protection laws.

10. Changes to This Policy

We may update this privacy policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will:

• Update the "Last updated" date at the top of this page.
• Notify registered users via email for significant changes.
• Post a notice within the app if the changes affect how we handle your data.

We encourage you to review this page periodically. Continued use of Pitchgrove after changes are posted constitutes acceptance of the updated policy.
